Inviting Team Members

Get your employees set up on SimpleStaff with invite codes or direct email invitations. This guide covers both methods.

Two Ways to Invite

SimpleStaff offers two methods to add team members, each suited for different scenarios:

Invite Codes

Best for bulk onboarding. Share a code and let employees sign up themselves.

Email Invitations

Best for specific individuals. Send a direct invitation to their email.

Method 1: Using Invite Codes

Step 1: Generate an Invite Code

Go to Manager Panel → Invite Codes and click "Create Invite Code".

Step 2: Configure Code Settings

When generating a code, you can set:

  • Default Role: Staff, Manager
  • Expiration: 24 hours, 7 days, 30 days, or never
  • Use Limit: Single use or unlimited

Step 3: Share the Code

Copy the code or shareable link and distribute it to your employees via:

  • • Team meetings or announcements
  • • Group chat (Slack, Teams, WhatsApp)
  • • Printed flyers in the break room
  • • Email blast to staff

Step 4: Employees Join

Employees create an account at simplestaff.ca and enter the invite code in the "Join a Team"section. They'll automatically be added to your team with the role you specified.

Pro Tip

Create different codes for different roles. For example, one code for managers and another for staff members.

Method 2: Email Invitations

Step 1: Go to Invite Codes

Navigate to Manager Panel → Invite Codes and click "Bulk Invite".

Step 2: Enter Employee Details

Fill in the employee's information:

  • Email Address: Required - where the invitation is sent
  • Role: Staff, Manager, or Co-Owner

Step 3: Send the Invitation

Click "Send Invitation". The employee will receive an email with a link to join your team.

Bulk Invitations

Need to invite many people at once? Use our bulk invite feature:

  1. 1Go to Team Settings → Bulk Invite
  2. 2Upload a CSV file with email addresses (one per line)
  3. 3Select the default role for all invitees
  4. 4Click "Send All Invitations"

Troubleshooting

Employee didn't receive the invitation email
  • • Check their spam/junk folder
  • • Verify the email address is correct
  • • Ask them to add support@simplestaff.ca to their contacts
  • • Try resending the invitation
  • • As a workaround, share an invite code directly
Invite code says "expired" or "invalid"
  • • Check if the code has passed its expiration date
  • • Verify the code hasn't reached its use limit
  • • Generate a new code if needed
  • • Make sure they're entering the code correctly (case-sensitive)
Employee joined with the wrong role

You can change their role after they've joined:

  1. 1. Go to Team Settings → Team Management
  2. 2. Find the employee in the list
  3. 3. Click the role dropdown and select the correct role

Team Member Limits

The number of team members you can have depends on your plan:

15 members
Team
30 members
Pro
60 members
Enterprise
Unlimited
