What Are Shift Templates?
Shift templates are pre-configured schedule patterns that you can apply to any week. If your business has consistent scheduling needs, templates can save hours of work.
Perfect for businesses with:
- • Consistent weekly patterns (same shifts every week)
- • Rotating schedules (A/B week patterns)
- • Seasonal variations (summer vs winter hours)
- • Multiple locations with similar needs
Creating a Template
Method 1: Save Current Week
The easiest way—save your current schedule as a template:
- 1Create your ideal week's schedule
- 2Click ⋮ More → Save as Template
- 3Name your template (e.g., "Standard Week", "Holiday Hours")
- 4Click Save
Method 2: Create from Scratch
Build a template without affecting your current schedule:
- 1Go to Schedule Settings → Templates
- 2Click "+ New Template"
- 3Use the template editor to add shifts
- 4Name and save the template
Template Options
When saving a template, you can choose what to include:
| Option | Description |
|---|---|
| Shift Times Only | Saves shift times and positions, not employee assignments |
| With Assignments | Includes which employees are assigned to each shift |
| Include Notes | Saves any shift notes or instructions |
| Position Required | Keeps position/role requirements for each shift |
Applying a Template

Navigate to the target week
Use the date picker to select the week you want to fill

Open the templates menu
Click 📋 Templates in the toolbar

Select your template
Choose from your saved templates

Choose apply mode
Replace:Clears the week and applies templateMerge:Adds template shifts to existing shifts - 5
Click Apply
The template shifts appear in your schedule
Pro Tip
After applying a template, use AI Fill to assign employees to the shifts based on their current availability.
Managing Templates
Access all your templates in Schedule Settings → Templates:
Template Best Practices
Use Descriptive Names
Name templates clearly: "Summer Hours", "Week A - Rotation", "Holiday Skeleton Crew"
Create Rotation Templates
For rotating schedules, create separate templates for each rotation week (Week A, Week B, etc.)
Seasonal Templates
Create templates for different seasons when your staffing needs change
Avoid Hardcoding Employees
Save templates without assignments, then use AI Fill for flexibility
