Common Labor Regulations
Overtime Rules
The Fair Labor Standards Act (FLSA) requires overtime pay for hours over 40 per week. Some states have daily overtime requirements.
SimpleStaff tracks: Weekly hours, daily hours (CA), consecutive days worked
Meal & Rest Breaks
Many states require meal breaks (usually 30 min for shifts over 5-6 hours) and rest breaks (usually 10 min per 4 hours).
SimpleStaff tracks: Shift duration vs. break time, break timing within shifts
Predictive Scheduling
Cities like San Francisco, Seattle, and New York require advance notice of schedules (often 14 days) and premium pay for last-minute changes.
SimpleStaff tracks: Schedule publication date, late changes, "clopening" shifts
Minor Labor Laws
Strict rules govern when and how long minors can work, varying by age and whether school is in session.

Setting Up Compliance Rules
Go to Compliance Settings
Navigate to Settings → Rules & Compliance.
Select Your Location
Choose your country, state/province, and city. SimpleStaff will suggest applicable regulations.
Enable Rule Sets
Toggle on the regulations that apply to your business:
- • FLSA Overtime (40 hours/week)
- • California Daily Overtime
- • State Meal Break Requirements
- • Predictive Scheduling Laws
- • Minor Work Restrictions
Configure Alert Level
Choose how SimpleStaff handles violations:
- • Warning: Shows alert but allows publishing
- • Block: Prevents publishing until resolved
- • Override with approval: Requires manager approval
Save & Test
Click Save and create a test schedule to verify rules are working correctly.

Handling Compliance Violations
When SimpleStaff detects a potential violation, you'll see an alert in the schedule view:
Overtime Warning
John Smith will have 42 hours this week, exceeding the 40-hour overtime threshold.
Options for handling violations:
- • Edit the schedule to resolve the conflict
- • Request an override (if your rules allow it)
- • Document the reason if the overtime is intentional
Compliance Reports
Generate compliance reports for internal audits or regulatory inspections:
- 1.Go to Reports → Compliance
- 2.Select the date range
- 3.Choose report type:
- • Violation Summary: All detected violations and resolutions
- • Hours Report: Weekly hours by employee
- • Break Compliance: Break times and durations
- • Minor Work Hours: Hours worked by minors
